Definition

The Development Operations and Stewardship Coordinator is responsible for the operational infrastructure that supports The Children's Cabinet's fundraising program, including donor relations and stewardship processes, fundraising and cultivation events, gift processing, and CRM/database operations. This position ensures donors receive timely, accurate, and meaningful engagement while providing the reporting, systems, and event execution that enable the broader development team to meet its goals. This position will cross over to all external areas including Marketing.  The position works with staff at all levels of the organization, board trustees, donors, vendors, and volunteers. This is a full-time position Monday through Friday, eligible for benefits, with the possibility of nights and weekends.

Duties

- Organize all functions of the Donor Relations, Events, Grants, Marketing teams.

- Support the teams in developing and executing the annual Donor Relations fundraising plan, with a focus on stewardship, events, and operational execution.

- Manage a comprehensive donor stewardship program, including acknowledgment letters, gift agreements, impact reporting, and recognition activities for donors at all giving levels.

- Plan, coordinate, and execute donor cultivation and fundraising events, including logistics, vendor management, budgets, invitations, day-of execution, and post-event follow-up.

- Develop strategies to convert event attendees, volunteers, sponsors, and community supporters into ongoing donors, in partnership with the major gifts team.

- Oversee accurate and timely maintenance of donor and prospect information within the agency's CRM, including gift entry, contact reports, donor segmentation, and data integrity standards.

- Generate regular fundraising reports and dashboards on donor trends, pipeline health, event performance, and revenue progress for the Chief Development Officer.

- Manage gift processing and acknowledgment workflows to ensure timely, accurate donor receipting in compliance with agency policy and tax requirements.

- Collaborate with Marketing to ensure donor communications, event materials, and stewardship touchpoints align with fundraising priorities and The Children's Cabinet brand.

- Develop and monitor budgets for events and donor relations operations, ensuring activities are implemented effectively and within approved resources.

- Support board and volunteer engagement in donor relations activities and events by preparing materials, briefings, and logistical coordination.

- Maintain an active presence in the community and at agency events to represent The Children's Cabinet and support donor and prospect engagement.

- Maintain a strong understanding of The Children's Cabinet's mission, programs, outcomes, and strategic priorities and communicate to donors, volunteers, and community stakeholders.

- Identify and implement process improvements and systems that increase the efficiency and effectiveness of donor relations and event operations.

- Reports to Director of Development Operations and Engagement

- Perform other duties as assigned.


Minimum Qualifications Needed: 

 

Skills and Knowledge: 

- Proven track record or experience in donor relations, stewardship, event planning, and/or fundraising operations.

- Excellent verbal and written communication and organizational skills.

- Proficiency in CRM systems, donor database management, and/or Microsoft Office Suite; experience generating reports from donor databases preferred.

- Strong project management skills with the ability to manage multiple events and deadlines simultaneously.

- Ability to work evenings and weekends as needed for events and donor engagement.

- Relate with a multi-generational diverse group of individuals/organizations.

- Must demonstrate comfort managing logistics and representing the organization at larger social and community events.

- Strong attention to detail, particularly donor data accuracy and gift acknowledgment timelines.

Requirements: 

- Bachelor's degree OR relevant work experience preferably in a nonprofit, event planning, or administrative role. 

- Ability to complete and pass a background check.

- Minimum 3-5 years experience in donor relations, events, fundraising operations, or related field.

- Must have a reliable vehicle to get to and from work, events, and meetings.

- Must possess a valid Nevada Driver's license, proof of insurance for utilizing a personal vehicle for company business, and a clean driving record.

- Must be capable of fulfilling all the physical aspects of the job including but not limited to: being able to lift and carry 50 lbs.; able to walk up and down stairs, repetitive keystroking (initiating and responding to e-mails; typing copy, etc.)

- Ability to work evenings and weekends. Some travel required; office visits and/or training.

6. Quality Assurance: Must be able to use program data to identify if programs are meeting objectives and goals as well as review data to identify missing or inconsistent data.

7. Evaluation and Reporting: Program Coordinators assess the effectiveness of the program by collecting and analyzing data, feedback, and other relevant information. They will use this data to improve program implementation. They are responsible for preparing reports for their Program Managers so they may analyze to support continuous improvements. 

8. Problem-Solving: Program Coordinators must be able to identify issues or challenges that arise during program implementation and develop solutions to address them promptly and address with their Program Managers. This requires critical thinking, creativity, and the ability to adapt to changing circumstances.

9. Compliance and Documentation: Program Coordinators need to ensure compliance with relevant laws, regulations, and organizational policies. They are also responsible for maintaining accurate documentation and records related to the program's activities and supervisory related documentation. 

10. Relationship Building: Building and maintaining positive relationships with team members is crucial for the success of the program. Program Coordinators need to solicit feedback, conduct evaluations, and implement changes based on lessons learned to achieve program goals.
